Job Description

Meet and greet all customers and respond to incoming telephone calls at ward level and relay to the nursing team as necessary.

Ensure all patients’ notes have been received from the Medical Records team in preparation for admission.

Identify where x-rays are required and retrieve prior to admission using the hospital patient administration and other systems. This may involve liaison with both private and NHS in-patient referrals.

Escort patients from reception for admission. Explain the room layout and facilities, deliver post and newspapers.

Ensure all patient records are kept tidy after return from theatre.

Liaise with nursing staff to arrange, where appropriate any follow up appointment via the Hospital patient administration systems.

Collate all discharge notes and deal with as appropriate.

Provide an administrative support to the Ward Co-ordinator and update or make changes to the bed management systems in support of the co-ordinator role.

Capture all patient charges for pathology testing on a daily basis.

Update the Hospital patient administration systems with any augmented nursing care communicated by the nursing team.

Update the Hospital patient administration systems with extended length of stay communicated by the nursing team.

Capture any additional patient revenue by escalating any extended length of stay as appropriate (i.e. contact the insurer).

Provide a clerical service for the ward and maintain adequate stationery levels.

9.14 Acknowledge the risk of Healthcare Associated Infections (HCAI) and understand own responsibility as agreed with line manager in the prevention and control of HCAI.

10. General

10.1 To attend and contribute to Process Review Meetings

10.2 Comply with obligation in respect of Health and Safety at Work Act, fire drills, fire procedures, moving and handling, etc.

Participate in in-house orientation and training programmes and the hospital Enabling Excellence scheme.

Assist with training new departmental personnel in ward administration duties.

To help promote and maintain the documented hospital quality systems as a means of ensuring that the hospital’s services conform to specified requirements.

Perform any other relevant duties as assigned.

10.7 Plan care for vulnerable people and those who may lack capacity to make decisions for themselves; whilst ensuring the patient remains at the centre of decision making and is fully safeguarded.

11. Judgement Skills

11.1 To support the team in carrying out all customer focussed services and administrative work processes suggesting improvements, which it is believed, will enhance the department’s performance, business and quality systems.

12. Freedom of Action

Job holder whilst working under the direction of the Patient Services Manager needs to be self motivated and able to work without supervision.

13. Dimensions

13.1 To support other members of the ward team.

14 Environment

14.1 The job holder will be working within the ward area dealing with both internal and external customers.

14.2 There will be access to confidential information, which must remain confidential at all times.

15. Qualifications, Training and Experience

15.1 Job holder must have completed basic secondary education.

15.2 PC skills and Customer Service skills desirable.
